Account settings: users and webhooks

If you open Account Settings, select Back to Settings to return to the Settings area.

Key concepts

• Roles and Permissions controls what a role can access. A role can also include staff and project supervisor settings, project manager settings, Form Builder access, and Buddy access.
• Mobile Access Control controls mobile access settings separately from roles and permissions.
• A Webhook sends selected information to the URL you provide when a selected Register action occurs.
• Each Webhook has a Name, URL, Register, Action, and Status. Status can be enabled or disabled.
• System Webhooks are managed by the admin. You can change their status for your account, but you cannot edit or delete them.

How to manage users

Users Management does not currently show a user list or provide controls for adding or removing individual users. Use the available controls in Roles and Permissions to manage access through roles, or open Mobile Access Control to manage mobile access settings.

To check access:

1. Open Users Management from Settings.
2. Choose Roles and Permissions or Mobile Access Control.
3. If the area is restricted, ask an account owner to grant you access.

How to manage roles

1. Open Users Management and select Roles and Permissions.
2. Review roles in Grid or List view.
3. Use search to find a role. You can also show active roles only, change the number of roles shown, and sort the list.
4. To create a role, select Add Role.
5. Enter a role name. A role name is required.
6. Add a description if needed.
7. Configure the role’s available settings, including supervisor and project manager options, Form Builder access, Buddy access, and permissions.
8. Select Create Role.

You can edit, deactivate, or delete roles from the role list when those actions are available to you. Only the account owner can edit system roles such as OWNER and Admin.

How to manage webhooks

Add a Webhook

1. Open Webhooks.
2. Select Add Webhook.
3. Enter a Name and URL.
4. Select one Register. The available Action options depend on the Register you choose.
5. Select the Action that should trigger the Webhook.
6. Set the Status to enabled or disabled.
7. If needed, add headers or connect the Webhook with a flow using the options shown on screen.
8. Save the Webhook.

Review, edit, or remove a Webhook

• Select the view control to open a Webhook’s details.
• Select the edit control to change a Webhook.
• Use the status switch to enable or disable a Webhook.
• Select the delete control and confirm when you no longer need a Webhook.
• Check Last Triggered in the list. A new Webhook shows Never until it has been triggered.

How to save changes

• For a new role, select Create Role after completing the role details and permissions.
• For a Webhook, complete the Webhook form and use its save action. The Webhook returns to the list after it is saved successfully.
• If a save fails, keep the form open, review the message shown, correct the relevant value, and try again.
• Changes to a Webhook’s status are made with the status switch. Check that the switch reflects the state you want.

Tips & things to know

• You need permission to open and use the controls in Users Management. If a tab is restricted, contact an account owner.
• A role name cannot be blank, and role names must be unique.
• Use List view when you want to sort or page through roles; use Grid view to scan role cards.
• Choose the Register and Action carefully: they determine when the Webhook is triggered.
• A System Webhook displays Managed by admin. It can be enabled or disabled for your account, but its definition is not editable.
• Account-level settings are not available yet. For now, Account Settings displays Feature will be added soon for account settings and a Back to Settings option.
