HSQE: Permits and PPE

Your available actions depend on your account permissions. If you cannot see one of these areas or an action is missing, ask your 3PM Command administrator to review your access.

Key concepts

• Permits Register: A list of permits available for use in 3PM Command. Each Permit has a required Name and an optional Description.
• PPE Register: A list of personal protective equipment records. Each PPE record has a PPE Type, Standard, Location, Quantity, Status, and optional Notes and Issued By details.
• PPE Status: PPE can be Active, Low Stock, Some Damaged, or Out of Stock.
• Custom Fields: Your account may include additional fields for Permits or PPE. These appear in the form and on the record's Custom Fields tab.
• Overview: The main detail tab for a Permit or PPE record. Use it to review the saved record information.

How to manage Permits

Add a Permit

1. Open the Permits Register.
2. Select Add.
3. Enter a Name. This field is required.
4. Enter a Description, if needed.
5. Complete any Custom Fields shown for your account.
6. Select Save Permit.

3PM Command confirms when the Permit is created. The new Permit then appears in the Permits Register.

Edit a Permit

1. Open the Permits Register.
2. Select the Permit you want to change.
3. Select Edit, either from the list or from the Permit record.
4. Update the Name, Description, or any available Custom Fields.
5. Select Update Permit.

Delete a Permit

Select the delete action for the Permit, review the confirmation message, and confirm the deletion. Deletion is only available when your account permissions allow it.

How to review a permit

1. Open the Permits Register.
2. Select a Permit.
3. Review the Overview tab for its Name and Description.
4. Open the Custom Fields tab to review additional information.

You can use the bookmark control on the Permit record to save it for quicker access later. Use the back control to return to the Permits Register.

How to manage PPE

Add PPE

1. Open the PPE Register.
2. Select Add.
3. Choose a PPE Type. The available types include Safety Helmet, Safety Boots, High-Vis Vest, Eye Protection, Respiratory Protection, Fall Arrest Harness, Hearing Protection, Gloves, and Other.
4. Enter the Standard. This field is required.
5. Enter the Location. This field is required.
6. Enter the Quantity. The quantity cannot be negative.
7. Choose a Status: Active, Low Stock, Some Damaged, or Out of Stock.
8. Add Notes or choose Issued By, if applicable.
9. Complete any Custom Fields shown for your account.
10. Select Save PPE Item.

Edit PPE

1. Open the PPE Register.
2. Select the PPE record you want to change.
3. Select Edit.
4. Update the equipment details, including the PPE Type, Standard, Location, Quantity, Status, Notes, or Issued By.
5. Select Update PPE Item.

Delete PPE

Select the delete action for the PPE record, review the confirmation message, and confirm the deletion. Deletion is only available when your account permissions allow it.

1. Open the PPE Register.
2. Select a PPE record.

Tips & things to know

• Keep Name and Description for Permits clear enough for people to identify the correct Permit when selecting one elsewhere in 3PM Command.
• Update Quantity and Status when PPE stock changes so the PPE Register reflects your current position.
• Use Location to show where PPE is held and Issued By to record the relevant staff member when issuing equipment.
• A Permit cannot be saved without a Name. PPE cannot be saved without a PPE Type, Standard, Location, and Status.
• Custom Fields are account-specific. If you do not see a Custom Fields section, none may be configured for that record type.
• The Permits Register currently shows an information message for Export, Renew Permits, and Permit Templates; these actions are not available yet.
• If a record is not visible, check your permissions and any list filters or search terms before asking an administrator for help.
