Workshop

The Dashboard gives you an overview of workshop activity, including Job Card and Maintenance information. You can also open a record from its list or card view to see more detail.

Key concepts

• Job Card: Use a Job Card to track a piece of workshop work through its status. Job Cards can be reviewed in a board view or a list view.
• Job Item: Use a Job Item for the work or service item associated with workshop activity. A Job Item can include information about parts, transactions, comments, and other details.
• Maintenance: Use Maintenance to manage asset maintenance and service records. The area uses the term Asset Servicing on its page and includes service records such as draft, approved, and voided records.
• Prestarts: Use Prestarts to manage asset pre-start checks and inspections. A Prestart includes asset information, questions, answers, comments, images, and details about fluids or other items checked.
• The Dashboard highlights Job Cards by states such as open, in progress, and overdue, and highlights Maintenance records as overdue or upcoming when applicable.

How to manage Workshop jobs

1. Open Workshop, then select Job Card.
2. Review Job Cards in the board or list view.
3. Use the available search, filters, sorting, or page controls to find the Job Card you need.
4. Open the Job Card to review its details, or use the available edit and delete actions.
5. Move a Job Card through the available status columns when its work progresses. In the board view, you can move a Job Card between columns.
6. To approve a Job Card, use Approve when the action is available.
7. To finish a Job Card, use the completion action. If the Job Card has required forms, complete those forms before the Job Card can be marked completed.

The Dashboard provides quick visibility of open, in-progress, overdue, and completed work. A Job Card may also show whether it is assigned to staff and which asset it concerns.

How to manage job cards

1. In Job Card, select the Job Card you want to manage.
2. Review the Job Card information and its current status.
3. Use edit to update the record, or delete it if you have access to that action.
4. Use the available action for the next permitted status. For example, Approve is available when the Job Card can move to approved, and the completion action is available when the required status change is allowed.
5. If completion opens a form, answer the required questions and submit the form to finish the status change.

A Job Card cannot be moved to every status from every starting status. 3PM Command checks the permitted status change and any assignment requirements before applying it. If an action is unavailable or an error appears, review the Job Card status and assigned staff.

How to manage job items

1. Open Workshop, then select Job Item.
2. Find and open the Job Item from the list or card view.
3. Use Overview to review the main Job Item information.
4. Use Parts, Transactions, or Comments to review the related information shown for that Job Item.
5. Use edit to update the Job Item when you have access. Use delete only when the delete action is available and you are sure the record is no longer needed.
6. Update the Job Item status using the available status action. 3PM Command checks whether the requested status change is allowed.
7. When approving a Job Item, resolve any validation items shown before trying again. These can include unapproved time records or unbilled purchase orders.
8. When completing a Job Item, complete any required forms shown in the completion step.

The Time Logs area is not available in the Job Item screen. Use the areas that are shown for the record instead.

How to manage maintenance

1. Open Workshop, then select Maintenance.
2. Review Asset Servicing records in list or card view.
3. Use the available search, filters, sorting, or selection controls to find the service records you need.
4. To create a record, select Log Service and enter the service information.
5. Open a record to review it. Use edit or delete when those actions are available to you.
6. Select one or more records when you need to apply the same available action to several records.
7. Use Approve for eligible draft records, Revert to return an approved record to draft, Restore to return a voided record to approved, or Void for an eligible approved record.
8. Confirm the action, then refresh the list to see the updated status.

The available actions depend on your access and on the current status of the selected records. For example, only draft records can be approved, and only approved records can be reverted or voided.

How to complete prestarts

1. Open Workshop, then select Prestarts.
2. Select New Prestart to create a Prestart, or open an existing Prestart to review or edit it.
3. Enter the asset information, including the asset, operator, date and time, and any available readings.
4. Answer each Prestart question. Add comments or images where they are needed to explain an answer or record a condition.
5. Record lubricant or fluid information and any other checked items when applicable.
6. Add comments and faults when you need to report an issue.
7. Save the Prestart.
8. To review a saved record, open it from Prestarts. If the detail view cannot load the record, select Back to Prestarts to return to the list.

Prestarts can be viewed in a list or card view. You can edit or delete a Prestart when the corresponding action is available to you.

Tips & things to know

• Use Dashboard first when you need a quick view of overdue or upcoming work.
• Check the current status before choosing Approve, Revert, Restore, Void, or the completion action.
• If a Job Card or Job Item has required forms, complete them as part of the completion step.
• If a Job Item cannot be approved, review the validation information and resolve unapproved time records or unbilled purchase orders.
• Use list view when you need table-style sorting, filtering, or selection; use card or board view when you want a visual overview.
• Access to viewing, creating, editing, deleting, approving, and other actions is controlled by your 3PM Command access.
• Refresh the relevant list after creating, editing, deleting, or changing the status of a record.
