3PM Command gives you one place to store, find, organize, share, and manage company Documents. Use the Documents area to upload files, place them in document folders, connect them to the relevant business area, and control who can access them.
Open Documents from the 3PM Command navigation. The Documents list opens on the Active view. From there, you can switch to Archived, search for a Document, change between list and grid views, open filters, or open the document folder navigation with the menu button.
To open a Document, select it from the list or grid. Its detail screen includes information about the file, its folder and business associations, sharing, and custom fields.
The Document Title, Module, and file are shown in the upload form. A related item is required when the selected Module provides that choice.
Archived Documents remain available from Archived until they are permanently deleted.
Use the search field to look for a Document. You can also:
The Module and Folder Name are required. Folder names cannot be duplicated where 3PM Command reports that the folder already exists.
Folders are grouped by Module, and the folder list can show a count of Documents. When you upload or edit a Document, the available folders are narrowed to the selected Module.
You can set sharing when you upload a Document or update it later from the sharing action or the sharing area on the Document detail screen.
The sharing area shows the current Access Level and the people or roles who can access a private Document. It also lets you remove existing recipients. If the Document is Public, no individual recipients are needed.
When you change a private Document's recipients, 3PM Command keeps the owner included for a staff account. The owner cannot be removed by a regular member. A user or role that already has access is not offered again as a new recipient.
The upload form accepts any file type. Your account may still restrict which Document actions or fields are available.
A Document has one selected Folder at a time. You can change that Folder when you edit the Document.
Public Documents do not require individual recipients. Private Documents are shared with selected Individual Users or Roles.
Sharing uses one recipient type at a time: Individual Users or Roles. Change the Share With selection to manage the relevant type.
Yes. Open the Archived view, choose the Document's unarchive action, and confirm. The Document returns to Active.
Deletion permanently removes the Document. Use archive instead if you may need to access it again.
Folders are filtered by Module. Select a Module first, then choose a matching Folder. If no suitable Folder is available, 3PM Command uses or creates an Other folder for that Module.
For a staff account, the owner remains included in a private Document's sharing. A regular member cannot remove the owner.
