The financial dashboard is now part of Analytics Dashboard. It brings together invoiced revenue, costs, gross profit, forecasts, job spending and client results so you can review financial performance for a chosen period. The figures are shown in NZD and are intended for customers, supervisors and administrators who have permission to view financial information.
Getting there
Sign in.
Open Analytics Dashboard from your usual navigation.
If you use an old bookmark for the financial dashboard, you are taken to the financial view in Analytics automatically.
If the page opens without financial cards or a Financial tab, ask your administrator to check that your role can view financial information.
Shared tablet accounts cannot use the financial dashboard. Sign in with an individual account instead.
Key concepts
Financial year data: The initial date range starts at your organisation’s configured financial-year start and runs through today. You can replace it with any Date From and Date To range.
Invoiced jobs: Revenue and gross-profit measures use jobs that were actually invoiced during the selected period. A job that has not been invoiced is not included in those measures.
Value: The estimated value of the matching work.
Gross Revenue: Revenue from invoiced jobs in the selected period.
Gross Profit: The value left after the costs included for the job are deducted. A negative amount means the costs exceed the value shown.
Gross Profit Margin and GP %: Gross profit expressed as a percentage of the relevant value. The dashboard calculates this as gross profit divided by estimated value, then displays it as a percentage.
Labour Cost, Plant Cost and Other Cost: The separate cost categories shown in financial breakdowns.
Current Spend: Spending so far on an open job, compared with its estimated revenue.
Revenue Forecast: Estimated revenue through the selected forecast end date. When no end date is chosen for the forecast, the default horizon is 60 days.
How to read financial information
Start with the four summary cards:
Gross Revenue shows invoiced revenue for the selected period.
Gross Profit Margin shows the margin for invoiced jobs in that period.
Previous Month provides the previous month’s revenue and, where available, its margin.
Revenue Forecast shows expected revenue through the forecast date. Expand the forecast control to choose a different end date and view the month-by-month amounts.
Use Total Gross Profit to compare profit with estimated value for the period. Its target marker is set at 80% of estimated value. This is a comparison guide, not a promise that every job should reach that level.
The Financials: Details table gives a job-level view grouped by manager. It includes Job Display, Value, Labour Cost, Plant Cost, Other Cost, Gross Profit and GP %. Each manager group has a Subtotal, making it easier to compare the manager’s combined results.
The colour cues help you scan the results:
Gross profit at or above 20% is shown in green.
A non-negative percentage below 20% is shown in orange in the detailed and client-wise views.
A negative gross profit or percentage is shown in red.
In Open Job Costing, spending below 70% of estimated revenue is green, 70% to 100% is orange, and over 100% is red.
How to use financial dashboard views
Filter the period or manager
Set Date From and Date To.
Choose a person from Manager, or leave All Managers selected.
Select Apply Filters.
To return to the default period and all managers, reset the filters using the available reset control.
On a phone or narrow screen, select Filters, make your changes in the filter panel, and apply them there. The selected filters affect the financial cards, detail tables, manager results, client results and trend information. Open Job Costing is grouped by manager and uses the manager selection; it focuses on open jobs rather than the invoiced-period totals.
Review job and manager performance
Use Financials: Details for individual jobs and manager subtotals. Select a column heading to sort it ascending, select it again to sort descending, and select it a third time to remove the sort. The job name links to the related job record.
Use Manager Wise Profit Distribution to compare Estimated, Labour Cost, Plant Cost, Other Cost, Gross Profit and GP % by manager. This view is described as covering invoiced jobs in the selected period. Select a column heading to sort the list in the same three-step way.
Review open-job spending
Open Job Costing compares Estimated Revenue, Current Spend and Spend % for in-flight jobs, grouped by manager. It includes non-profit jobs, which are marked Non-profit. Select a job to open its job record. A manager subtotal combines the open jobs shown for that manager.
Compare clients and trends
Open More analytics, then select Financial if it is available. This view includes:
Expense vs Profit — Trend, which plots Total Value, Total Expense and Total Gross Profit by month. Hover over a point to see the NZD amounts. At least two months of data are required to display the trend.
Financials: Client Wise, which compares each client’s Value, Labour Cost, Plant Cost, Other Cost, Gross Profit and GP %, with a Grand Total at the bottom. Select a heading to sort a column.
Top 10 Clients by Gross Profit and Bottom 10 Clients by Gross Profit, which rank clients by total gross profit and include a Grand Total for each list.
Tips & things to know
Check the date range before comparing two dashboard views. The default range is the financial year to date, not necessarily the calendar year.
Use the detail table when you need to investigate a total, then open the linked job for more context.
Treat GP % as a percentage of estimated value. It is not the percentage of revenue after an invoice adjustment unless the underlying estimated value and job figures reflect that adjustment.
A negative gross profit is a useful prompt to investigate costs, value and invoicing details; it does not by itself identify which cost needs correcting.
If a table says No financial data for the selected period, broaden the dates or remove the manager filter. The result may simply contain no matching invoiced jobs.
If Open Job Costing says No open jobs for the selected filters, check the manager selection and the jobs’ current status.
Values are formatted as NZD with two decimal places. Charts may use compact labels such as k or m; hover over chart points for the full amount.
Financial information is hidden from roles without permission. Administrators can review role permissions if a supervisor or manager needs access.
FAQ
Why can’t I see the financial cards or the Financial tab?
Your role may not include permission to view financial information. Shared tablet accounts are also excluded from financial information. Ask an administrator to check your account or sign in with an individual account.
Why did my old financial-dashboard bookmark open Analytics Dashboard?
The former financial dashboard has been replaced by the financial view within Analytics Dashboard. Your bookmark is redirected there so you can continue using the current dashboard.
Why is a job missing from Gross Revenue or Gross Profit?
Those measures use jobs that were actually invoiced during the selected period. Confirm the invoice date and the Date From and Date To values. An uninvoiced job is not backdated into the period.
Why does a trend say that there is not enough data?
Expense vs Profit — Trend needs at least two months of data. Select a wider date range or wait until the selected period contains enough monthly results.
What does spending over 100% mean in Open Job Costing?
It means Current Spend is greater than Estimated Revenue for that job. The dashboard marks this in red so you can investigate before the job is completed.
Can I sort the financial tables?
Yes. Select a sortable column heading. The first selection sorts ascending, the second sorts descending, and the third clears the sort. The manager and client detail views also group or total the results so you can check the impact of the sort.
Why are the numbers different between client and manager views?
The views group the same financial categories in different ways. Financials: Client Wise groups by client, while Manager Wise Profit Distribution groups by manager. Confirm that the same date and manager filters are selected before comparing them.
