Manage submissions and meeting agendas

Meeting-agenda submissions give your team one place to raise items for discussion, record minutes, and keep a searchable history of what was submitted. You can create a submission, review its details, update it when information changes, and—if you have the required permission—delete it.

Getting there

  1. Open Submissions from the main navigation.
  2. Select Meeting Agenda.

The page shows the meeting-agenda list and summary cards for Total Submissions, Management, and Health & Safety. If you do not see the page or an action, ask your administrator to check your permissions.

How to find a submission

  1. Go to Submissions > Meeting Agenda.
  2. Use the search box to search the submitter’s name, meeting-minutes content, or agenda type.
  3. Use the available column filters to narrow results by submitter, agenda type, or submission date.
  4. Select a row to open the submission.

The list displays up to 25 items per page. You can sort the submitter, agenda type, and submission-date columns. On smaller screens, submissions are shown as cards rather than a table.

How to view a meeting agenda

  1. Find the submission in the meeting-agenda list.
  2. Select it to open the Meeting Agenda details page.
  3. Review the Type, From, and Submitted values.
  4. If minutes or agenda content were added, read them under Minutes.
  5. Use the print control in the page header if you need a printable copy.
  6. Select All agendas to return to the full list.

How to edit a meeting agenda

  1. Open the submission you want to change.
  2. Select Edit.
  3. Update Agenda Item From, Agenda Type, or Meeting Minutes.
  4. Select Save changes.
  5. After saving, the system returns you to the submission’s details page.

When choosing a person, search the staff list and select the correct name. Both Agenda Item From and Agenda Type are required. If you leave either one blank, the system shows a validation message and does not save the form.

Can I submit an item without meeting minutes?

Yes. Meeting Minutes is optional. Agenda Item From and Agenda Type are required.

Which agenda types are available?

You can select Management or Health & Safety.

Can I change the person who submitted the item?

Yes, if you can edit the submission. Choose a different person in Agenda Item From and save the changes. The available people normally come from active staff.

Who can delete an agenda item?

Deletion requires management-level permission and write access to the meeting-agenda area. If Delete is not available, contact your administrator.

Why did someone receive a notification after I submitted an item?

New submissions notify the configured recipient list. If your administrator has not configured one, the notification goes to management.

Can I print an agenda?

Yes. Open the submission and use the print control on the details page.

Troubleshooting

I cannot see the Meeting Agenda page

Your account may not have access, or you may not be signed in. Sign in again and try Submissions > Meeting Agenda. If the page is still unavailable, ask an administrator to review your access.

I can view an item but cannot edit it

Your account may be view-only. Editing requires write access. If you believe you should be able to edit, ask an administrator to update your permissions.

The staff member I need is not listed

The selector normally shows active staff. Check that the person is active and that you have the correct staff access. If you are editing an older item, the original author should remain selectable even if deactivated; if not, contact your administrator.

The form will not save

Check that Agenda Item From and Agenda Type have values. Correct any validation message, then select Save changes or Submit Agenda Item again. If saving continues to fail, try refreshing the page and re-entering the information.

My new submission is not in the list

Confirm that the submission completed successfully, then refresh the Meeting Agenda page. Use the search box or filters to look for the submitter’s name, content, or type. If it still does not appear, contact your administrator with the approximate submission time and details.

I deleted an item by mistake

Deletion is permanent and cannot be undone in the Meeting Agenda area. Contact your administrator immediately to discuss whether your organisation has another recovery process.
