Use the Punctuality area to review staff clock-in records for a selected date range, compare punctuality across staff members, and open an individual staff member’s time details. Managers and administrators can access this area; staff members without the required access will not see it.
Getting there
Sign in.
Open Punctuality from the navigation.
The page opens with a staff punctuality summary. It normally starts with the previous seven days through today, using New Zealand time.
Key concepts
Average Punctuality is the average number of minutes between a staff member’s actual clock-in time and expected start time. The summary displays the average as a whole number.
Total Punctuality is the combined difference, in minutes, across the staff member’s clock-ins in the selected period.
A positive value means the staff member clocked in late. A value of zero means they clocked in at the expected time. A negative value means they clocked in early.
Staff members with no clock-ins in the selected period show N/A for the punctuality measures and No records in the card view.
The colour key groups average lateness into these bands: <= 0 min Late, 1 - 2 min Late, 3 - 5 min Late, 6 - 10 min Late, 11 - 15 min Late, and > 15 min Late.
How to view staff time
In the Filter area, enter a date in From and a date in To.
Select Generate.
Review the summary for each staff member. The list includes the staff member’s name, clock-in count, average punctuality, total punctuality, and a Details option.
Use the staff search or table filters if you need to narrow the list.
If the dates are entered in reverse order, the earlier date is treated as the start of the period. To return to the unfiltered view, select Clear.
If no records match, the page displays No staff time records and explains that you can add a date range and select Generate to see staff punctuality.
How to open time details
From the staff summary, select Details beside the staff member you want to review. The detail view shows:
The staff member’s name and the selected date range
The number of Clock-ins
Total Punctuality (min)
Avg Punctuality (min)
Each record’s Date, Expected Start, Clock In Time, and Punctuality (min)
Select a column heading that supports sorting to change the order of the records. You can also filter the detail list by date or punctuality. Punctuality values are shown in minutes; late values include a plus sign, such as +10, while early values are negative.
To return to the summary and retain the date range, select Back to Staff Times.
Tips & things to know
Use a consistent date range when comparing staff members. The summary and the individual detail view use the same selected period.
Check Expected Start and Clock In Time together when investigating a punctuality value. The displayed value is calculated from those two times when both are available.
A record without an expected or actual time may show a dash for the missing value. Its punctuality uses the available saved value when a time is missing.
Date labels and times are presented using New Zealand local time.
In the individual details window, managers and administrators can correct a record’s date, clock-in time, or expected start time. Punctuality is recalculated from the resulting times when the change is saved.
Managers and administrators can also select one or more records and delete them. Deletion requires confirmation and cannot be undone from the report.
If the detail view has no matching records, it displays No clock-in records found for this period.
FAQ
What does a positive punctuality number mean?
It means the actual clock-in was later than the expected start time. For example, +15 means 15 minutes late.
What does a negative punctuality number mean?
It means the staff member clocked in before the expected start time. A value of -10 means 10 minutes early.
Why does a staff member show N/A?
There are no clock-in records for that staff member in the selected period, so an average and total cannot be calculated.
Why can’t I find a staff member?
Check the selected From and To dates, then select Generate again. Staff members without records in that period are not included in the summary. Also check that your account has manager or administrator access to the Punctuality area.
Can I change a punctuality value directly?
No. Punctuality is calculated from the actual clock-in time and expected start time. When an authorised manager or administrator corrects either time, the punctuality value is recalculated.
How do I see all available records again?
Select Clear in the filter area, then generate the report again if needed.
