Use the Jobs area to keep tree-care work organised from creation through invoicing. You can search open jobs, review job information and financial summaries, update job details, attach photos, view jobs assigned to you, and use specialised views for foremen and invoiced work.
Getting there
Open Job Cards from the Bookings section to see active work. Job Cards is available to staff, managers, and administrators. Managers and administrators can also open Invoiced Jobs to review completed, invoiced work.
Depending on your role and account setup, you may also have access to My Jobs, the foreman view, and Task Photos. Foreman access is intended for foremen; Task Photos is available to foremen, managers, and administrators.
Key concepts
Open jobs appear in Job Cards. Invoiced jobs are shown separately in Invoiced Jobs.
An invoiced job is treated as invoiced and closed. It includes an invoice date, where available.
A job can include a name, client, manager, dates, site address, description, special precautions, applicable hazards, General Operating Procedures, quote information, attachments, estimated value, estimated invoice month, and photos.
Financial information is role-based. Users with financial access can see estimated value, spending, gross profit, and related totals; other users see the job without those figures.
Staff and assets shown on a job come from its bookings. If neither has been added to a booking, the job detail page shows that there is no staff or no assets yet.
How to find a job
Open Job Cards.
Use the search box to search by job name, job number, client, manager, or client office address.
Use the available column filters to narrow results by client or manager.
Select a job row to open its details. You can also sort columns such as Job #, Job Name, Client, or Manager.
If you need older completed work, open Invoiced Jobs instead.
The active list starts with open jobs and is sorted by job number in descending order. You can switch between the list and calendar presentation when the calendar has events. The table also supports exporting the current view.
How to view job details
Select a job from any job list. The detail page shows the job number and name, status, client, manager, start and end dates, invoice date, non-profit status, client office address, and any quote link.
Depending on what has been recorded, you may also see:
A description and special precautions.
A manager site assessment.
General Operating Procedures, including linked reference documents or notes.
Shared quote attachments.
Staff and assets from bookings.
Hazards.
Bookings, time sheets, safety risk assessments, site inspections, and job photos.
Users with write access can select Edit Job. From the detail page, users with write access can also select New Booking, New Time Sheet, New SRA, or New Inspection. If the job has a quote, select Quote Link to open it in a new browser tab.
How to edit a job
Open the job and select Edit Job.
Update the required or optional information, such as the job name, client, manager, site address, dates, status, value, precautions, hazards, procedures, quote, or attachments.
To add photos while editing, use the Photos section and select Add photo. On a mobile device, you can also select Camera.
Save the form. After a successful save, you return to the job details.
The job name, client, manager, and site address line 1 are required. When creating a job, add at least one General Operating Procedure with either a note or a reference. An estimated value is required for a non-profit job to be invoiced only when the value is greater than zero; non-profit jobs may use zero.
To mark a job invoiced, choose the Invoiced status. For a non-profit job, a value greater than zero is not required. If the invoice date is blank, the system uses today’s date. If you move a job back to Open, its invoice date is cleared.
How to view your jobs
Open My Jobs to see jobs assigned to your staff profile. The page shows your total jobs and the number of open jobs. You can search by job name, job number, or client, and select a row to open the job.
If the page says your account is not linked to a staff record, contact an administrator to have your profile set up. Until it is linked, no jobs can be shown in My Jobs.
How to use the foreman view
The foreman view shows open jobs assigned to or managed by you as foreman. It displays an Open Jobs count and includes job number, job name, client, manager, date, and status.
Use the search box to search by job name, job number, or client. You can filter by manager, date, or status, then select a row to open the job details. If no matching work is available, the page shows No jobs found and explains that you have no open jobs as foreman.
The foreman view is restricted to foremen and administrators. The standard Job Cards view is not available to the foreman role.
How to manage job photos
Add photos to a job
Open the job and select Edit Job, or use the photo area available while editing.
Select Add photo and choose one or more image files. On mobile, select Camera to take a photo.
Wait for the upload confirmation. Photos appear in the job’s photo grid.
Images are compressed before uploading. You can add multiple images at once.
Mark up or remove a photo
Hover over a photo and select the pencil control to open the annotation tool. Save the markup when finished. The marked-up image replaces the original. To remove a photo, use its delete control.
View photos across jobs
Open Task Photos to see photos from all jobs. To see photos for one job, open the photo view from that job or filter the view for that job when that option is provided. The gallery shows the photo, description when available, uploader when available, job name when available, and upload date.
How to view invoiced jobs
Open Invoiced Jobs.
Search by job name, job number, client, manager, or client office address.
Filter by client, manager, date, or invoice date.
Select a job to open its details.
The page shows the number of invoiced jobs. Users with financial access also see Total Spending and Total Invoiced Value, and can view invoiced value and gross-profit information in the list. A job appears here after it is marked Invoiced.
Tips & things to know
Use the job number when searching for the quickest result.
Add the site address and special precautions so the information is available when the work is reviewed and when related safety records are created.
Hazards and General Operating Procedures added to a job can be used when creating Site Risk Assessments from that job.
Select Share quote or attachments with staff only when crew and other staff should be able to view the quote and attachments.
When marking several open jobs invoiced, review the action carefully: today’s date is applied to the selected jobs. You can update value and cost details for individual jobs afterwards.
Selecting several jobs also allows bulk deletion. Deletion permanently removes the selected jobs and associated job information, including time sheets, bookings, and photos, and cannot be undone.
If you work offline, a new or edited job may be queued and synchronised when you reconnect. Photos added to a job created offline need to be added after reconnection.
Financial totals and profit percentages may be hidden if your role does not include financial access.
FAQ
Why can’t I see a job in Job Cards?
Job Cards shows open jobs only. If the job has been invoiced, look in Invoiced Jobs. Also check your search text and filters.
Why can’t I see the Edit Job button?
Editing requires write access to jobs. If you have view-only access, contact an administrator or manager who can update the job.
Why can’t I see a job in My Jobs?
My Jobs uses the staff record linked to your account. Ask an administrator to link your account to the correct staff profile.
Why can’t I see financial figures?
Estimated value, spending, gross profit, and invoiced totals are visible only to users with financial access. This is expected when your role does not have that permission.
Can I mark an invoiced job back to Open?
Yes, if you have permission to edit the job. When you change the status back to Open, the invoice date is cleared.
Can I add a quote or attachments?
Yes. Add a quote link in the job form. To add attachments, enable Share quote or attachments with staff and use the attachments area. Leave the option off to keep the quote and attachments private.
What happens if a photo upload fails?
The job can still be saved, but the system displays a warning or error. Reconnect if needed, then add the missing photos from the job page.
Troubleshooting
No open jobs: Clear the search and filters. If the work is complete, check Invoiced Jobs.
No jobs in the foreman view: Check that you are signed in to the correct account and that you are assigned to or managing open work as foreman.
No jobs in My Jobs: Ask an administrator to link your account to a staff record.
The save button does not complete the update: Check required fields, especially job name, client, manager, and site address line 1. For a new job, check that at least one General Operating Procedure has a note or reference.
An invoiced job cannot be saved: Check that the estimated value is greater than zero unless the job is marked non-profit.
Photos are not visible: Refresh the page and check that the upload completed. If you were offline, reconnect before adding the photos.
A quote or attachment is not visible to staff: Check that Share quote or attachments with staff is enabled and save the job again.
A job appears in the wrong list: Check its status. Open jobs belong in Job Cards; Invoiced jobs belong in Invoiced Jobs.
