Bookings can be created from the booking calendar, linked to a job, and reviewed with the people, equipment, dates, address, notes, photos, and related records needed for tree-care work. Use the checks below to resolve the most common problems with creating, editing, or finding a booking.
Common problems
Refresh the page if the calendar or a booking detail looks out of date. The calendar refreshes the visible date range when you move between months or change views.
Check that you are signed in with the right level of access. The booking calendar and New Booking page are available to managers and administrators. Signed-in staff can open booking details, but may not see the calendar or editing controls.
If you are viewing a booking, use Back to Calendar to return to the schedule, Back to Job to open the linked job, or Edit when editing is available.
If a save appears to fail, read the message shown on the form and correct the named field. The form checks the data again when you save, so a field that looks complete may still need attention.
If you are working with a weak connection, a booking can be saved offline and synchronised when you reconnect. Photos and new attachments may need to be added later from the booking page.
Bookings that cannot be created
Check these requirements first:
Select a job. The Job field is required.
Enter both a start date and an end date.
Select a foreman. The Foreman field is required.
Make sure the end date is the same as or later than the start date.
If you choose the option to create an individual booking for each calendar day, keep the date range to 365 days or fewer.
If the form still will not save:
Re-select the job, foreman, staff, or equipment if a record was recently made inactive. New bookings offer open jobs, active staff, and active equipment. A job can also be created from the job selector when that shortcut is available.
Check the address, description, quote link, and attachments for invalid or incomplete values. Clear an optional value that is no longer needed rather than entering placeholder text.
Do not click Save repeatedly. A booking is protected against accidental duplicate submissions while the first save is being processed.
If you see “Forbidden” or cannot open New Booking, ask a manager or administrator to check your access. Creating bookings is restricted to managers and administrators.
A booking is normally created with a confirmed status. If you split a multi-day booking into individual calendar-day bookings, the system creates one booking per day. A range longer than 365 days is not accepted for that option.
Conflicting or missing booking details
Dates look wrong
Confirm the start and end dates in Edit. A booking includes both dates, and the calendar treats the end date as part of the booking.
If a multi-day booking was split into daily bookings, each day appears as its own calendar entry. Editing a range and selecting the daily-booking option can replace a multi-day booking with separate daily entries; a one-day range remains a single booking.
Job details are missing or unexpected
Changing the selected job can fill an empty site address from the job or its client address. It does not overwrite address fields you have already entered. Staff and equipment are selected for each booking; they are not automatically copied from the job.
On an existing booking, a job or person may no longer be in the normal selection list because the job was closed or the person became inactive. The current selection is retained and shown with its existing name so that you can review the booking rather than losing the linked value.
Quote information is not visible
Quote material, an external quote link, and shared attachments are shown only when you have quote access or the booking has been shared with staff. Quote totals also require the permission to view financial information. Ask a manager or administrator to confirm whether the quote was shared and whether your account can view financial information.
Staff, equipment, or precautions are missing
Check the booking detail sections for Staff and Assets. An empty section is valid and displays “No staff assigned” or “No assets assigned.” Special precautions come from the linked job and are visible only to managers and administrators.
Photos or attachments did not arrive
The booking can still be saved when a photo or attachment upload fails. Add the missing item from the booking page after reconnecting. If only some photos fail, the successful uploads remain available and the form identifies how many need to be added again.
Bookings that do not appear as expected
Move the calendar to the booking’s month, then try the month, week, or day view. The calendar loads bookings that overlap the date range currently being viewed, so a booking that starts before the view but continues into it can still appear.
Clear filters if the booking is hidden. The calendar can filter by job card, address, quote, client, status, date range, manager, foreman, staff, and assets. Staff and asset filters require every selected person or item to match.
Check the booking’s dates and linked job. The status filter shows Open and Invoiced based on the linked job, not merely on the booking’s own details. Invoiced bookings appear in grey.
If the booking was just created or edited, wait for the success message and allow the calendar to refresh. An offline save will not appear on other devices until it synchronises after you reconnect.
If you can open a booking detail but cannot see the calendar, that can be expected: booking details are available to signed-in staff, while the calendar is restricted to managers and administrators.
If a booking opens as not found, check that you used the complete booking link and that the booking was not deleted. Ask an administrator to verify the record.
From a booking detail page, related records may appear in Linked Time Sheets and Linked Site Risk Assessments. If either section says that no records are linked, create the relevant record from the booking using New Time Sheet or New SRA. New Inspection is available to foremen and above. These links do not mean that a time sheet, risk assessment, or inspection already exists.
When to contact an administrator
Contact a manager or administrator when:
you need access to the booking calendar, New Booking, or Edit;
a job, foreman, staff member, or piece of equipment is missing from the selector and should be available;
a booking is missing after you have checked its dates and cleared filters;
a booking opens as not found or shows the wrong linked job;
quote sharing, quote totals, external links, or shared attachments are not visible when you believe they should be;
a booking appears duplicated after an offline retry or a multi-day split; or
the same save, synchronisation, or upload error continues after reconnecting and trying again.
Include the job name or number, booking dates, the message shown, and whether you were online when the problem occurred. Do not create a second booking while an administrator is checking a possible duplicate.
