Use your account’s analytics to understand workload, resources, safety activity, and financial performance. Managers and administrators can use the Analytics Dashboard for an overview, then open the monthly key performance indicator review for team and individual bonus metrics.
Getting there
Sign in.
Open the main navigation and select Analytics Dashboard.
To review monthly performance measures, select Management KPIs.
Both areas are available to managers and administrators. They are hidden on shared tablet accounts. Staff members without manager access cannot open them.
Key concepts
Analytics Dashboard
The dashboard combines several views:
Gross Revenue — invoiced jobs in the selected period.
Gross Profit Margin — the margin for invoiced jobs in the selected period.
Previous Month — the previous month’s revenue and margin.
Revenue Forecast — an estimate through the selected forecast date. If you do not choose a date, the forecast covers 60 days.
Financial detail by manager and job, including value, labour cost, plant cost, other cost, and gross profit.
Foreman Leaderboard and Open Job Costing for operational and in-progress work insight.
Resource measures such as jobs, staff, assets, clients, approvals, timesheet activity, labour hours, and machinery hours.
Safety measures including site inspections, asset inspections, incidents, and open safety-quality items.
Financial information is shown only to people who have financial viewing permission. An administrator can remove that permission for an individual. When it is unavailable, financial cards and the Financial view are not shown; resource information remains available.
Monthly key performance indicators
Management KPIs contains two monthly views:
Management KPI (Team) — team checks and review areas, including Asset Checks / Day, Site Audits (Team), SQIFs Overdue, Investigations Overdue, Competencies >6Wks Over, and Subcontractor Inspections. It also includes meetings, yard and office management, and staff reviews.
Sales KPI (Individual) — individual sales performance for selected participants. Where figures are available, the view can show revenue, average gross profit margin, a bonus tier, and whether the margin gate passed.
The sales reference states that no bonus is paid below a 40% average gross profit margin. It also shows that a management KPI not achieved halves the bonus. Treat the figures and reference information as a basis for your internal review and payment process.
How to view analytics
Open Analytics Dashboard.
Set Date From and Date To to define the period. By default, the dashboard uses the start of the financial year through today.
Optionally choose a person in Manager. Leave it as All Managers to include everyone.
Select Apply Filters.
Review the headline cards first, then the financial detail, leaderboard, and open-job costing information.
Select More analytics to expand the additional views.
In the expanded area, choose Financial or Resource Utilization. The financial view is available only when you have financial viewing permission.
To return to the unfiltered view, select Clear. The selected dates and manager affect the period-based analytics. Resource utilisation also shows operational summaries such as Pending Approvals this Week, Time Sheets Approved this Week, Total Labour Hours So Far, and Total Machinery Hours So Far.
The dashboard may show a message instead of a trend when there is not enough history: at least two months of data are required for the Expense vs Profit — Trend chart.
How to view KPI information
Open Management KPIs.
Choose Management KPI (Team) or Sales KPI (Individual).
Use the month and year selectors, or the previous and next month arrows, to move through the available review periods.
Review the indicator cards and the detailed monthly information.
On the team view, administrators can enter dates and attendees for Monthly BBQ, Managers Meeting, Sales Meeting, Fleet Meeting, and Safety Meeting. They can also record pass or fail results, notes, staff review entries, non-conformances, and the managers included in the pool. Select Save when the review is ready, then use the approval action when it has been checked.
On the individual sales view, administrators can use Participants to choose who appears for that month. Only managers and administrators are candidates; tablets and inactive staff are excluded. Select Save participants after changing the list. Administrators can also record direct-damage and unpaid-invoice deductions, their reasons, and whether the management indicator was not achieved.
Managers can review indicator information but cannot edit it unless they are also an administrator. A sales period with no selected people shows No salespeople selected for this month.
Tips & things to know
Choose the period before comparing managers or clients; changing the filters changes the results.
Use Manager to investigate one manager, or keep All Managers selected for an account-wide view.
Check the date shown on Revenue Forecast. Without a custom forecast date, it is labelled as a 60-day forecast.
Financial cards use New Zealand dollars and may show two decimal places.
In Financials: Details, select a column heading to sort it. Select it again to reverse the order, and a third time to clear the sort.
Use the sales indicator gate to move from an individual result to that person’s sales for the matching month.
Review SQIFs Overdue, Investigations Overdue, and Competencies >6Wks Over as follow-up lists, not just headline numbers.
If a chart says there is not enough data, broaden the date range or wait until at least two months of data exist.
Keep monthly selections separate when reviewing the two tabs: changing the team month does not replace the selected sales month.
Financial and bonus-related information is sensitive. Do not use a shared tablet account to access these screens.
FAQ
Who can view analytics?
Managers and administrators can open the analytics areas. Staff members without manager access cannot. Shared tablet accounts are blocked from these screens.
Why can I see resources but not financial figures?
Your account may not have financial viewing permission. The money-related cards and the Financial view are hidden when that permission is not available. Access can be reviewed by an account administrator.
What dates does the Analytics Dashboard use by default?
It starts at the beginning of the current financial year and ends today. You can replace either date with Date From and Date To.
How far ahead does the revenue forecast look?
If you do not choose a forecast date, it covers 60 days. The forecast card shows the ending date; use the forecast control to choose a different end date when available.
Why is a sales indicator list empty?
An administrator may not have selected any salespeople for that month. The page then shows No salespeople selected for this month. The participant list can be updated by an administrator.
Who can edit or approve monthly reviews?
Administrators can edit and approve management and sales reviews. Managers can view the reviews but do not receive the editing controls unless they also have administrator access.
Why is a trend chart unavailable?
The Expense vs Profit — Trend chart needs at least two months of data. Select a wider period if your current range contains less history.
