The Leave tools help staff submit time away, approvers review requests, and administrators maintain the leave information used for requests and calendars. You can record the first day of leave, the first day back at work, working-day totals, comments, and approval status in one place.
From the dashboard, open Leave. Depending on your access, you may see Request Leave, My Leave Requests, Leave Calendar, and the leave-management views.
The main management view is available to designated leave approvers. Administrators can also access it. If you do not have access, use Return to Dashboard and ask your administrator to confirm that you are a designated approver.
The form requires a staff member, leave type, first day, and return date. The return date must be after the first day of leave. If the request overlaps another active request for the same staff member, the app will not save it.
After submission, the request normally starts as Pending. A manager-level submission may include the submitter’s approval; whether it becomes approved immediately depends on the number of approvals your company requires. If you lose your connection, the app can save the request offline and sync it when you reconnect.
From the request page, select My Leave Requests. This personal view shows only requests associated with your own staff record, including the leave type, dates, comments, and status.
If you have no requests, the page displays “You have no leave requests yet.” Shared tablet or kiosk accounts do not have a personal leave view; use the request page and choose the correct staff member instead.
Open Leave Calendar to see approved staff leave in a calendar view. Events show the staff member and leave type, and ranged leave covers the full approved date range.
On a desktop-sized screen, use the month calendar to browse dates. On a mobile device, use the mobile calendar and select a date to inspect that day. Selecting a leave event takes you back to the list of leave records.
The calendar is an overview of approved leave; pending and declined requests are not shown there.
Designated approvers can open Leave Management and use the All, Pending, Approved, Declined, and Calendar views. Lists can be sorted and filtered by staff member, leave type, dates, number of days, hours, and status.
Open a request to see its Request Date, Staff, Leave Type, First Day of Leave, Last Day of Leave, Back to Work On, Comments, Leave Days, Leave Hours, and Status. Use Print if you need a paper copy.
When the required number of approvals is reached, the request changes to Approved. If your company has configured approval notifications, the configured recipients are notified when approval is reached.
Users with leave-management write access can open a request and select Edit. You can change the leave type, dates, comments, and status. Select Save Changes when finished or Cancel to leave the request unchanged.
Changing dates recalculates leave days and hours and checks for overlaps again. Users with the same write access can also delete a leave request. Deletion is permanent, so confirm the record is no longer needed before deleting it.
Select Download PDF on the main Leave Management page to download a PDF of the leave information.
Leave-type and public-holiday settings are available to administrators only. Open Leave Types & Public Holidays from the Leave area.
Use the edit control beside an existing type to change its details, then save the changes. The colour is used in the app’s calendars and is not synced to Xero. Deleting a type permanently removes it; use the confirmation dialog carefully.
Edit or delete a holiday from its row. Public holidays are used when the app calculates working leave days, so keep this list accurate for your regions.
Leave days count working days only. Saturdays, Sundays, and configured public holidays are excluded. The Weekends / Holidays figure shows the excluded days in the selected range.
Enter the first day you will work again. The app treats that date as exclusive, so your last leave day is the previous day.
Managers can submit a request for staff. Regular staff users are limited to their own staff record. Shared tablet or kiosk users must choose the staff member from the list.
The management queue is restricted to designated leave approvers and administrators. You can still use Request Leave if your account has permission to submit requests.
The calendar displays approved leave only. Check the request’s status in My Leave Requests or the management list. A pending or declined request will not appear.
Yes. A designated approver can use Revert on an approved or declined request to return it to Pending. The request then needs approval again.
A user with leave-management write access can edit the request, including its status. Date changes are recalculated and checked for overlap.
Choose a return date later than the first day of leave. For a one-day request, set Back to Work On to the following day.
The selected staff member already has an active request covering one or more of these dates. Review the existing request, change the dates, or use a different staff member. A declined request does not block the dates.
Select a staff member and leave type, then complete both required dates. On a shared device, the staff member is not selected automatically.
Pending means the required approvals have not yet been reached. Ask a designated approver to review it. If your company requires multiple approvals, one approval may not be enough.
Confirm that you are a designated leave approver or administrator. Also check whether another approver has already approved the same request; an approver cannot approve the same request twice.
Refresh the page after saving. If you worked offline, reconnect and allow the request to sync. If the problem continues, record the staff member, leave type, dates, and any displayed message, then contact your administrator.
