Troubleshoot jobs

Use this guide when a job is missing, details will not save, photos fail to upload, or the job’s invoicing status looks wrong. The Jobs area separates open work from invoiced work, and access to viewing or changing information depends on your account permissions.

Common problems

Start with these checks:

Jobs that are missing

Check the list that matches the job’s current state:

If the job appears in one view but not another, this is usually because the views apply different filters rather than because the job has been lost.

Job details that cannot be updated

You need write access to the Jobs area to create or edit a job. If Edit Job is not available, or selecting it sends you back to the job list, ask an administrator to grant the appropriate access.

When editing, check these required details:

New jobs also need at least one General Operating Procedure entry. Add either a note or a procedure reference; a blank row does not count.

When changing a job to invoiced:

If a job saves successfully but a newly selected client, manager, hazard, or procedure is not available, the list used by your account may not include that item. Ask an administrator to check the related record and your access.

Photos that cannot be added

On the edit page, use Add photo. On a mobile device, you can also use Camera. You can select more than one image at a time.

Job photos must meet all of these requirements:

If an upload fails, try a supported image saved at a smaller size, check your connection, and upload it again. The system removes image metadata such as location information when it processes a photo.

Uploading the same image to the same job again does not create another copy. If some photos succeed and others fail while saving a job, the job can still be saved; add the missing photos from the job page after reconnecting.

The Task Photos page can show photos across all jobs or photos for a selected job. If it says No task photos, check that you selected the correct job and that the photo was uploaded as a job or task photo rather than only attached to another record.

To remove a job photo, you must be the person who uploaded it or a manager or administrator. If you cannot remove it, ask a manager or administrator to do so.

Incorrect job or invoicing status

Jobs have two supported statuses: Open and Invoiced.

If the change is rejected, check that the estimated value is greater than $0. Non-Profit jobs are exempt from that value requirement. If the displayed status does not change after a successful save, refresh the page and check All Jobs and Invoiced Jobs separately.

Be aware that a time sheet’s own status is separate from the job’s invoicing status. A job can be invoiced even when related time-sheet information needs separate attention.

When to contact an administrator

Contact an administrator when:

Include the job number, the page you were using, what you expected to happen, and the exact message shown. Do not send confidential client information unless your organisation’s support process requires it.
