Use this guide when a job is missing, details will not save, photos fail to upload, or the job’s invoicing status looks wrong. The Jobs area separates open work from invoiced work, and access to viewing or changing information depends on your account permissions.
Common problems
Start with these checks:
Refresh the page and open the job again from All Jobs.
Check whether you are looking at open work or invoiced work. shows open jobs, while shows jobs that have been invoiced and closed.
Job Cards
Invoiced Jobs
If you can see a job but cannot change it, your account may have view-only access. A supervisor or administrator can check your permissions.
If a save or upload reports that you are offline, reconnect to the internet and try again. A job edit can be saved for synchronisation later, but photos added while creating a job offline need to be added after you reconnect.
If a form shows an error, correct the highlighted field before trying again. Do not close the page until you see a success message.
Jobs that are missing
Check the list that matches the job’s current state:
Job Cards shows open jobs only. Invoiced jobs are not included there; open Invoiced Jobs instead.
My Jobs shows jobs assigned to the staff record linked to your account. If your account is not linked to a staff record, no jobs are shown and the page asks you to contact an administrator.
Jobs (Foreman View) shows open jobs assigned to or managed by the signed-in foreman. An invoiced job will not appear in this view.
If you followed a saved link and the job no longer exists, ask an administrator to confirm the job number and whether it was removed.
If the job appears in one view but not another, this is usually because the views apply different filters rather than because the job has been lost.
Job details that cannot be updated
You need write access to the Jobs area to create or edit a job. If Edit Job is not available, or selecting it sends you back to the job list, ask an administrator to grant the appropriate access.
When editing, check these required details:
Job name
Client
Manager
Site address, including the first address line
New jobs also need at least one General Operating Procedure entry. Add either a note or a procedure reference; a blank row does not count.
When changing a job to invoiced:
The estimated value must be greater than $0, unless the job is marked as a Non-Profit job.
If no invoice date is entered, the system uses today’s date.
Moving the job back to Open clears its invoice date.
If a job saves successfully but a newly selected client, manager, hazard, or procedure is not available, the list used by your account may not include that item. Ask an administrator to check the related record and your access.
Photos that cannot be added
On the edit page, use Add photo. On a mobile device, you can also use Camera. You can select more than one image at a time.
Job photos must meet all of these requirements:
JPEG, PNG, WebP, HEIC, or HEIF image format
No larger than 10 MB per file
The file’s contents must match its declared image type; renaming an unsupported file does not make it acceptable
If an upload fails, try a supported image saved at a smaller size, check your connection, and upload it again. The system removes image metadata such as location information when it processes a photo.
Uploading the same image to the same job again does not create another copy. If some photos succeed and others fail while saving a job, the job can still be saved; add the missing photos from the job page after reconnecting.
The Task Photos page can show photos across all jobs or photos for a selected job. If it says No task photos, check that you selected the correct job and that the photo was uploaded as a job or task photo rather than only attached to another record.
To remove a job photo, you must be the person who uploaded it or a manager or administrator. If you cannot remove it, ask a manager or administrator to do so.
Incorrect job or invoicing status
Jobs have two supported statuses: Open and Invoiced.
An Open job appears in Job Cards, My Jobs when it is assigned to you, and Jobs (Foreman View) when it is assigned to or managed by you as foreman.
An Invoiced job appears in Invoiced Jobs and is treated as invoiced and closed.
When a job is changed to Invoiced, its invoice date is set to the entered date or, if none is entered, today’s date.
When it is changed back to Open, the invoice date is cleared and it returns to the open-job views.
If the change is rejected, check that the estimated value is greater than $0. Non-Profit jobs are exempt from that value requirement. If the displayed status does not change after a successful save, refresh the page and check All Jobs and Invoiced Jobs separately.
Be aware that a time sheet’s own status is separate from the job’s invoicing status. A job can be invoiced even when related time-sheet information needs separate attention.
When to contact an administrator
Contact an administrator when:
Your account is not linked to a staff record and My Jobs is empty.
You cannot see the Jobs area or only have viewing access when you need to edit.
A job is absent from every relevant list, or you need confirmation that it was removed.
The client, manager, hazard, or procedure you need is missing from the selection list.
A job remains in the wrong invoicing list after you have refreshed it and confirmed the save message.
A photo meets the format and size requirements but still cannot be uploaded.
You need a photo removed but you did not upload it.
Include the job number, the page you were using, what you expected to happen, and the exact message shown. Do not send confidential client information unless your organisation’s support process requires it.
