3PM Drive helps you manage Stock, Stock Locations, Vendors, Purchase Orders, and received inventory from the Maintenance area. Use this guide to add Stock, create a Purchase Order, receive items, and keep Purchase Order status up to date.
If 3PM Drive is connected to another app that manages Stock or Purchase Orders, some actions may be read-only or the Purchase Orders screen may show that the feature is managed in the connected app.
Your available actions depend on your permissions and whether you created the item. Stock managed by a connected app does not show the usual edit or archive actions in 3PM Drive.
You can add Measurement units, Categories, and Stock Locations from the settings links beside those fields when the required option is not available.
A Purchase Order must have a Vendor, Delivery Location, Approver, and at least one valid Line Item before it can be saved.
Only the assigned Approver or a manager can approve or reject a Purchase Order. The person who created a Purchase Order cannot approve it unless they have full access. A regular status change cannot be used to receive Stock; use Receive instead.
Only Draft and Rejected Purchase Orders can be edited. Your permissions and whether you created the Purchase Order can also affect whether Edit is available.
Approval and rejection are limited to the assigned Approver or a manager. The creator cannot approve their own Purchase Order unless they have full access.
Use Receive for receiving. A regular status update cannot set a Purchase Order to Received or Received Partial, because receiving must also add the quantities to Stock.
Receive is available for Purchase Orders with status Purchased or Received Partial. It is not shown for other statuses.
The quantity must be a positive whole number and cannot be greater than the outstanding quantity for that Line Item. Enter at least one quantity before submitting.
Out of stock means the total across Stock Locations is 0 or less. Low stock means the total is greater than 0 but at or below the Reorder point.
Yes. Stock Location and quantity lines are optional. If you add a line without selecting a Stock Location, that line is not saved. If you select a Stock Location but leave Quantity blank, it is saved as 0.
Open the Stock item and select Stock Locations when the item has Stock Location details.
Create the item first from Stock using Add Stock, then return to the Purchase Order form and select it under Line Items.
The relevant feature may be managed by a connected app. When that connection is active, 3PM Drive may hide management actions or show a notice directing you to the connected app.
