3PM Drive brings account setup, Assets, People, Inspections, Maintenance, and operational information into one place. This glossary explains the terms you will see in 3PM Drive and how they relate to one another.
An Asset is a vehicle or item of equipment managed in 3PM Drive. Assets can have assigned Teams, Forms, Service Plans, meter readings, Fuel details, compliance documents, Defects, and Work Orders.
These are the two asset status labels shown in 3PM Drive:
A Checklist Item is an individual item used to define or organise maintenance checks. Checklist Items are managed in Maintenance.
Compliance is the status of an asset's documents. A document can show Valid, Expiring soon, Expired, or No expiry. The Expiring soon window is 30 days before the expiry date, and the reminder lead time defaults to 30 days.
A Defect is an issue raised by an Inspection. In the asset issue list, an inspection-raised issue is identified as an Inspection Defect.
The Exception Report is an Inspections area for reviewing inspection exceptions and results that require attention.
Forms are inspection templates used to collect answers during an Inspection. Forms can be managed in the Forms area and assigned to Assets. The Builder tab is available within Forms for creating or editing forms.
A Fault is an issue reported by a user. Faults and Defects appear together in the Defects area, with a label showing whether an issue is a Fault or an Inspection Defect.
Inspection History is the list of submitted Inspections. Asset inspection submissions are also available from the asset's inspection area and may show the number of Defects found.
Meter Readings are readings recorded for an Asset. 3PM Drive supports Odometer, Engine Hours, and Hubometer meter types. The latest reading is used for the asset's current meter and can affect when service is due.
People is the area for managing Users, Teams, and Roles. A Driver is a User with the Driver role.
A Service Plan is assigned to an Asset to define its planned servicing. The Asset Service Schedule uses the assigned Service Plan and the asset's current information to show service timing.
Asset Service Schedule is the maintenance view that shows when service is Overdue, Due, Upcoming, Planned, or has No plan.
A Work Order is used to organise maintenance work. Work Orders use lifecycle statuses such as Open, In Progress, On Hold, and Completed. You can manage the available labels in Settings under Work Order Statuses.
A Purchase Order is used to organise purchasing related to Maintenance. Purchase Orders are available in Maintenance when that area is enabled for your account.
Stock is the Maintenance area for managing parts and other items used in maintenance work. Related settings include Stock Categories and Stock Locations.
Vendors is the area for managing the suppliers who provide services, parts, or other maintenance support.
Fuel is the area for managing fuel information associated with Assets. Asset fuel types include Diesel, Petrol, Electric, LPG, CNG, and Other.
Settings contains configuration areas such as Asset Types, Measurement Units, Stock Categories, Stock Locations, Work Order Statuses, Meter Readings, Labour Rate, Forms Inspection, Driver Inspections, Alert Recipients, Apps, and IoT Hub. The settings available to you depend on your access.
A Fault is reported by a user. A Defect is raised by an Inspection. Both appear in the Defects area, where an issue label identifies the type.
Forms are the templates used to carry out Inspections. Inspection History contains the Inspections that have been submitted.
An Asset shows Under Maintenance when its status is out of service. It shows Active when its status is in service.
3PM Drive uses the document expiry date to show Valid, Expiring soon, Expired, or No expiry. Expiring soon covers the 30 days before expiry.
No plan means that the Asset does not have a Service Plan assigned.
Open Asset Service Schedule from Maintenance to review service timing. You can also open the Asset and review its service information and Service History.
Open Settings, then Work Order Statuses. The labels available there are used for Work Orders.
The areas and settings shown in 3PM Drive depend on your access and the features enabled for your account. If you need access to Assets, Inspections, Maintenance, People, Vendors, Fuel, or Settings, contact the person who manages access for your account.
