Quotes in 3PM Base help you turn an agreed customer price into planned work and billing. Create a Quote for a Client, add the work and pricing, send it for review, answer questions, collect approval and a signature, then use the approved Quote to create an Invoice.
Use Active Quotes to follow Quotes that are still being considered. Use Accepted Quotes to find Quotes with Approved status.
A Quote can have one of these statuses:
Quotes can also expire when their Valid Until date has passed. An expired Quote cannot be accepted, although 3PM Base allows an expired Quote to be converted to an Invoice with a warning to review it first.
The total is calculated from the line items and tax. A Quote Template can set a validity period; when it does, 3PM Base calculates Valid Until from the date the Quote is created.
A Client can open the shared Quote, enter their name, and send a question or message. To respond:
Questions from the Client are shown with the Quote and notify the Quote creator, System Administrators, and users with the relevant Admin permissions.
The Client approves a Quote from the shared Quote view:
A signature is required. The Quote cannot be approved after its Valid Until date, or if it has already been Approved or Declined. Approval changes the Quote to Approved, saves the approver's name and email when provided, and keeps the signature with the Quote.
After a Quote is approved, open it from Accepted Quotes and choose the option to convert it into an Invoice. 3PM Base creates a Draft Invoice using the Quote's Client, project, line items, subtotal, tax, total, currency, and tax-inclusive or tax-exclusive setting. The Invoice due date is set to 30 days from the conversion date.
The Quote remains Approved after conversion. A Declined Quote cannot be converted. If the Quote has expired, conversion is still allowed, but review the Draft Invoice before sending it to the Client.
If the Quote is linked to a Lead, approving it changes the linked Lead to Converted. If the Lead has a linked contact, that contact is promoted to a Client.
Yes. When you start a Quote, choose the option to create without a Lead, then select a Client.
Yes. Choose email or SMS when sending and check the recipient details before you send.
No. The Client must enter a name and draw a signature before approval is accepted.
The Client can still open the shared Quote, but cannot approve it. You can convert an expired Quote into an Invoice, and 3PM Base displays a warning to review the Invoice before sending it.
No. A Declined Quote cannot be converted.
No. Conversion creates a Draft Invoice. Review it and send it separately.
The linked Lead changes to Converted. If it has a linked contact, that contact becomes a Client.
Approval is the point at which the Client has accepted the Quote. If the details need to change, discuss the change with the Client and create or update the Quote according to your team's process before billing.
