Use Invoicing in 3PM Base to create Invoices, check what is Paid or Unpaid, connect an Invoice to a Project, and review financial activity by date range. An Invoice can include line items, a Client, dates, a reference, tax, and amounts due.
Open Invoices in 3PM Base. To review project-level billing activity, open Financials. From a Project, you can also open its financial details and create an Invoice from work that has not yet been billed.
Tip: For time-and-materials billing, select only the remaining unbilled amount for the work you want to include. For fixed-price work, review the claim amount for each quoted line item before saving.
Open an Invoice to review its total, amount due, date, due date, and amount paid. In the Invoices view for a Client, the summary separates records into Paid, Unpaid, and Total.
When a Client pays through the available client payment experience, 3PM Base uses the payment amount to update the Invoice’s paid and due amounts. A payment can use the Invoice total or the remaining amount due. If the amount due reaches zero, the Invoice is shown as Paid.
To follow up on an outstanding Payment:
You can link an Invoice that is not allocated to a Project from Financials:
The selected Project must belong to your 3PM Base account. If an Invoice is already linked, use the same Project-linking control to choose a different Project when that option is available.
An Invoice is Unpaid when it is not PAID, VOIDED, or DELETED and still has an amount due. Check the amount due and due date on the Invoice.
No. Paid and voided Invoices cannot be edited. Create a new Invoice or follow your account’s process for correcting the original record.
No. An Invoice has one Project link. You can leave it unallocated or choose another Project from the linking control.
The Invoice may be unallocated, outside the selected date range, or associated with a different Project. Check the date filters and the unallocated billing area in Financials.
Financials provides CSV, Excel, and PDF export options.
Related billed work is returned to an unbilled state. Review the Project before invoicing that work again.
Search using the Client, Invoice number, or reference. Check that the selected date range includes the Invoice date, then select Refresh. If you are viewing a Project report, also check the unallocated billing area.
Review each line item’s quantity, unit amount, tax, and line amount. When line items are present, 3PM Base recalculates the subtotal, tax, and total from those values. Check whether amounts are entered as tax-inclusive or tax-exclusive in the Invoice steps.
Confirm that the Project belongs to the same 3PM Base account and that it appears in the Project list. Try searching by the Project number as well as the Project name.
Refresh the Invoice and check the amount paid and amount due. If the amount due is not zero, the Invoice is still partially unpaid. If the payment was made through the client payment experience and the values do not update, ask the Client to confirm the payment and contact your account administrator.
An APPROVED or PAID Invoice cannot be deleted. Void it first, then follow your account’s process for removing or replacing it.
Check that you have access to the account and try Refresh. Clear an incomplete custom date range by selecting a preset for the full available period, then try again. If the report still does not load, check whether the issue affects all Projects or only one Project.
