3PM Base helps you organize payroll preparation around approved timesheets, Pay Calendars, Payroll runs, and connected payroll services. Use Pay Calendars to define pay periods and payment dates. When your payroll service is connected, 3PM Base can use it while preparing payroll batches and can bring Payroll runs from iPayroll into your account.
Pay Calendar management is available to an Admin, System Administrator, or account owner. Payroll batch and Payroll run preparation and synchronization are not currently exposed as customer-facing areas in the 3PM Base interface.
Payroll batch preparation is available in the product services but does not currently have a customer-facing area in 3PM Base. When the capability is made available in your account, use this workflow:
A Payroll batch cannot be prepared without an active payroll integration. It also cannot be prepared when there are no approved Timesheets in the selected pay period. Break entries are excluded, and work entries with zero or negative hours are excluded. If a staff member has no default earnings type, that staff member's affected lines are skipped and a warning is returned.
Preparing the same period again rebuilds the batch for that payroll service and pay period. A Payroll batch that is already synchronized or locked cannot be modified.
In the Pay Calendars area, you can view active Pay Calendars, their current completed period, payment date, source, and status.
3PM Base supports these calendar cycles: weekly, fortnightly, four-weekly, monthly, quarterly, twice monthly, and annual. A twice-monthly cycle is split into the 1st–15th and 16th–last day of the month.
The current completed period is calculated from the calendar and its anchor date. The in-progress period is not treated as the period ready to process.
Warning: Deleting a Pay Calendar makes it inactive in 3PM Base even if removing the linked Xero calendar fails. Check the Pay Calendar status after deletion.
Payroll run management is not currently exposed as a customer-facing area in 3PM Base. Payroll runs have these statuses: draft, submitted, approved, paid, and cancelled. A Payroll run includes its pay period, payment date, totals, employee count, notes, and payslips.
When Payroll runs are available in your account, use approved Timesheets for the pay period and provide the pay period start, pay period end, and payment date. Payroll run creation and submission are restricted to an Admin or System Administrator.
3PM Base currently supports these payroll connections for payroll work:
To connect or reconnect iPayroll, use the payroll integrations area and follow the connection prompts. Connecting iPayroll initially synchronizes employees. Only an Admin or System Administrator can connect or disconnect iPayroll.
Payroll run synchronization currently works with iPayroll. It retrieves Payroll runs from iPayroll and updates matching Payroll runs in 3PM Base. Payslips for staff who cannot be matched in 3PM Base are not included.
Pay Calendar synchronization currently works with Xero. Creating or editing a Pay Calendar attempts to synchronize it to Xero when Xero is connected. Annual Pay Calendars are not supported by Xero Payroll. If a Pay Calendar synchronization fails, 3PM Base keeps the Pay Calendar and shows a synchronization error; an Admin can edit or retry it.
Only approved Timesheets dated within the selected pay period are included. Break entries and work entries with zero or negative hours are excluded.
There are no approved Timesheets in the selected pay period, or the Timesheets have been deleted. Approve the relevant Timesheets and prepare the period again.
Yes. You can keep multiple active Pay Calendars, but only one can be the default at a time.
You can use weekly, fortnightly, four-weekly, monthly, quarterly, twice monthly, or annual cycles. Annual calendars cannot be synchronized to Xero Payroll.
No. A Payroll batch that is synchronized or locked cannot be modified.
Payroll run synchronization is currently provided for iPayroll. Xero and MYOB are available as payroll integrations for payroll batch preparation, while Pay Calendar synchronization is provided for Xero.
Check that you are an Admin, System Administrator, or account owner. If the actions are still unavailable, ask an account administrator to make the change.
Confirm that Xero is connected, then edit the Pay Calendar and save it again to retry synchronization. Check the calendar type: annual Pay Calendars are not supported by Xero Payroll. The local Pay Calendar remains available even when the Xero update fails.
Confirm that a payroll integration is active and that the selected period contains approved Timesheets. If the batch contains warnings, check that each staff member has a default earnings type and that staff are mapped to the connected payroll service.
Check that the staff member has an approved Timesheet in the selected period, a default earnings type, and the required payroll-service employee mapping.
Confirm that iPayroll is connected and active, then try the synchronization again. If the connection has expired or been disconnected, an Admin or System Administrator must reconnect it before Payroll runs can be synchronized.
Payroll run management and synchronization are not currently exposed as customer-facing areas in the 3PM Base interface. If your account has access to the capability, confirm that iPayroll is connected and that matching staff records exist in 3PM Base.
